The UK’s Favourite Coffee Chain: Modernising Payment Technology for Faster Transactions

Vista was selected as the partner of choice for the UK’s favourite coffee chain, to carry out a full upgrade of its aging payment devices across hundreds of UK sites.

The customer faced a critical need to modernise its payment infrastructure. Their existing devices were outdated, leading to slower transaction speeds, reliability issues, and an overall impact on customer experience. The objective was clear: upgrade to modern payment technology that could deliver faster, more secure transactions without disrupting daily operations.

However, this was no small task. The rollout had to be completed across a large, geographically dispersed estate, during peak trading periods, and under strict compliance requirements. Managing complex logistics, coordinating with store teams, and ensuring seamless integration were essential to success. 

Our Solution

Vista delivered a fully managed deployment of 1,872 modern P400 payment devices across the UK mainland and the Isle of Wight. Here’s how we made it happen:

  • Pilot Phase: Conducted 6–8 May 2025 to validate processes.
  • Full Rollout: 12 May – 28 August 2025, with engineers starting at 6AM to minimise disruption.
  • Engineering Force: 38 Vista engineers deployed nationwide, averaging 16–17 sites per day and peaking at 33 sites/day.
  • Drive-Thru Adaptations: Installed custom DT plates for secure mounting.
  • Scheduling & Governance: Controlled rollout schedules, coordinated with store managers, and secured permits for sensitive locations. Weekly governance calls and summary reports ensured transparency.
  • Logistics & Activation: Managed device allocation, DHL-secured distribution, and P2PE-compliant removal of legacy devices.
  • Returns & Disposal: Legacy devices securely returned, reconciled within 24 hours, and sent for certified disposal.
